Where the business was
An independent residential estate agency with a team of six was managing around 30 active listings at a time. With no dedicated admin support, two senior negotiators divided their time between valuations, offers and viewing administration: booking viewings, chasing feedback and keeping vendors informed. We deployed an AI coordination agent for the viewing cycle. It confirms applicant availability, schedules viewings against agent diaries, sends reminders and access instructions, and follows up for feedback within two hours of each appointment. It also sends vendors a weekly summary.
What changed
Negotiator time on viewing admin fell by 70%, and vendor feedback turnaround improved from 48 hours to the same day. Viewings handled in the first quarter after go-live were 22% higher than in the same quarter of the previous year. The team stayed the same size, with no additional hire.
