    Who we are

This website, reformatlabs.com, is run by Reformat Labs Limited, a company registered in England and Wales with company number 17047849. Our registered office is 27 Old Gloucester Street, London WC1N 3AX.

Reformat Labs Limited is the controller of the personal information described in this policy. You can contact us about it at hello@reformatlabs.com.

    What we collect

We collect information you give us and some information about how you use the website.

    • Contact and enquiry forms: your name, email address, company and any other details you type into the form, including your message.
    • Meeting bookings: your name, email address, the time you choose and anything you add when you book.
    • AI assessments: your answers to the questions, your scores, and the name, email address, company and role you give before your report opens.
    • Website use: information sent by your browser, such as your IP address, browser type, the pages you visit and how you arrived. Cloudflare Web Analytics counts page views, and HubSpot and LinkedIn collect this information only if you accept cookies.

    How we use it

    • To reply to your enquiry and talk to you about the work you asked about.
    • To arrange and hold meetings you book with us.
    • To prepare your assessment report, show it to you and send you its link, and to discuss the result with you if you ask us to.
    • To understand how the website is used and to measure our LinkedIn advertising.
    • To keep the website working and protect it from misuse.

    Our lawful basis

We use your contact, booking and assessment details because you asked us to respond, to hold a meeting or to prepare a report. Where you are asking about our services, this is a step you have asked us to take before a possible contract. Otherwise we rely on our legitimate interest in replying to people who contact us and in running and improving the website.

We use the HubSpot tracking code and the LinkedIn Insight Tag only if you accept cookies in the banner, and you can withdraw that consent at any time. Our cookie policy explains the details.

    Who processes it for us

We use these providers to run the website and our sales process. They process personal information on our behalf under their own terms. We do not sell personal information.

    • HubSpot: our contact forms, meeting bookings, customer records, email and website tracking. Our HubSpot account is hosted in HubSpot's EU data centre.
    • Cloudflare: hosting for the website, the database that holds assessment answers and details, file storage for assessment report PDFs, the service that prints those PDFs, and Cloudflare Web Analytics.
    • LinkedIn: the LinkedIn Insight Tag, which measures visits from our LinkedIn advertising.
    • Google Fonts: the font files used in the styling of our HubSpot forms are loaded from Google.

    Transfers outside the UK

Some of these providers are based in, or use services in, the United States and other countries outside the UK. Each provider's terms set out the safeguards it uses when personal information leaves the UK.

    How long we keep it

We keep personal information only for as long as we need it for the purposes in this policy. You can ask us to delete your information at any time, using the contact details below.

    Your rights

Under UK data protection law you can ask us to:

    • give you a copy of the personal information we hold about you
    • correct information that is wrong or incomplete
    • delete your information
    • restrict how we use it, or stop using it where we rely on our legitimate interests
    • give you your information in a format you can pass to another organisation

How to contact us or complain

Email hello@reformatlabs.com with any question or request about your personal information.

You can also complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to deal with your concern first.
