Where the business was
An independent financial advice practice with eight client-facing advisers was spending the equivalent of a full working day each week on meeting preparation. Before each client review, an adviser spent between 45 minutes and an hour pulling portfolio data, checking performance against targets and assembling a briefing pack, and none of that time was billable.

There was no shared process for preparing review packs. Each adviser gathered data from several places, wrote their own summary and built their own agenda for each client.

The work we delivered
We deployed an AI agent connected to the practice's portfolio management platform. It prepares a briefing pack 24 hours before each client review: it pulls current portfolio data, flags positions outside agreed tolerance bands and drafts a structured agenda based on the client's objectives and last recorded circumstances.
What changed
Average meeting preparation time fell from 55 minutes to 18, about 67% less time. The team saved more than five hours a week between them. In the six months after launch, three advisers took on new clients with no increase in headcount.
