What you'll build.
Generic AI tools don't know your business. Custom GPTs do - because you train them on your own content, your own formats, and your own processes. By the end of this session, your team has built and tested up to three custom GPTs, ready to use the next morning.
A custom GPT trained on your tone of voice
Using your brand guidelines, existing copy, and client communication samples, your team builds a GPT that writes in your voice - not generic AI prose. Every output it produces sounds like your business wrote it, because you trained it to.
A workflow-specific GPT for your highest-volume outputs
A second custom GPT built around the type of output your team produces most - reports, proposals, brief responses, research summaries, client updates. Trained on your templates and past examples so it understands your format, not just your content.
A custom GPT for internal knowledge retrieval
A GPT loaded with your internal documents - processes, policies, FAQs, pricing guides, service descriptions. Your team can ask it questions and get accurate answers drawn from your own materials, rather than guessing or searching through shared drives.

How the session runs.
The session is structured as a sequence of build phases. Your content goes in at the start so the GPTs are trained on your business from the first prompt - not retrained afterwards.

Build session 1
Tone of voice and brand GPT
Your whole team builds the tone of voice GPT together, testing it against real outputs and refining it until it sounds right. Everyone participates - not just the person who owns the brand.
Build session 2
Workflow-specific GPT
Each person or small group builds a GPT for their highest-volume output type. Different team members may build different GPTs depending on their roles.

Every GPT is tested against genuine tasks before the session ends. Outputs that don't perform are debugged in real time. You leave with GPTs that work, not ones that need more time to test.

30 minsParticipants join the live session and confirm they have access to ChatGPT Plus or an equivalent. We review the materials each person has prepared - brand guidelines, tone examples, templates, key internal documents. These are loaded into the session structure before any building begins.

20 minsA focused, practical explanation of how custom GPTs store context, what they can and can't do, where they're reliable, and the common mistakes that produce poor outputs. Enough to build well, not more than is useful.
Build session 1: tone of voice GPT
70 minsThe full team builds the tone of voice and brand GPT together. We start with a structured brief describing your voice, load your example content, test the GPT against a set of standard outputs (email, short copy, longer draft), and iterate until the outputs are consistently on-brand. The facilitator works through the room in real time.

60 minsEach person or small group builds a GPT for their highest-volume output type - reports, proposals, brief responses, research summaries, internal knowledge retrieval. Trained on their own templates and past examples. The facilitator moves between groups supporting the builds.
Build session 3: internal knowledge GPT
30 minsFor teams that have prepared the materials, a third GPT is built for internal knowledge retrieval - policies, processes, pricing, service descriptions. Teams that don't have materials ready use this time to refine and extend their workflow GPT.
Testing, deployment guide, and close
30 minsEvery GPT built in the session is tested against a real task. We produce the deployment guide and prompt library in real time. Each person states how they'll use their GPT the following morning. Written outputs are sent within 48 hours.

Live facilitated build session
A Reformat Labs facilitator runs the full session live, working through breakout rooms during the build phases to support each person or group in real time. Not a recorded walkthrough.

Deployment guide
A plain-language guide for your whole team covering what each GPT does, how to access it, how to prompt it effectively, and how to update it. Delivered within 48 hours.

30-day follow-up call
A 45-minute live call 30 days after the session to review how the GPTs are performing, update any that need refinement based on real-world use, and answer questions that have come up in practice.

Runs the full session live, leads the build phases, and works through breakout rooms during the hands-on sections. Has built custom GPTs across multiple sectors and knows the common failure modes in tone training, document loading, and prompt design. Selected based on your business type.
Technical support (teams 10+)
For teams of 10 or more, a second consultant joins to handle technical issues in real time - access problems, document formatting, GPT configuration errors - so the lead facilitator stays focused on the build itself. Added automatically for sessions above 10 participants.
