A record of where each team member started and what they could do by the end of the day. Useful for identifying who needs follow-up support and for measuring progress at the 30-day review.

How the day runs.
The day moves from understanding to practice as quickly as possible. There's a short foundational session in the morning and then the majority of the day is hands-on. At least one facilitator per 10 participants throughout.

How AI actually works - what you need to know

60 minsWorking in small groups by function, each team identifies the tasks in their role where AI can save the most time or improve quality. We draw on benchmarks from comparable businesses to help the groups move quickly and not miss obvious wins.
Hands-on session 1: core tasks
90 minsThe first practical session. Each person works through their top three AI use cases using their own real tasks and content - not textbook examples. A facilitator works through the room providing real-time feedback and helping people get usable outputs.

60 minsHands-on session 2: workflow building
75 minsThe second practical session focuses on building repeatable workflows - not just using AI once, but creating a process you can run consistently. Each person or pair produces at least one documented AI workflow for a task they do regularly.
Prompt library build
45 minsThe whole team contributes to a shared prompt library. The best prompts produced during the day are refined, tested, and added to a shared document by role. By the end of this session your team has a working asset they can use the next morning.
30-day plan and close
30 minsWe set the 30-day practice plan, agree who owns what, and close with each person stating one AI task they'll run the following morning. Written outputs - workflow guides, prompt library, competency map - are sent within 48 hours.

Pre-workshop role mapping
A short questionnaire sent to each attendee two weeks before. Captures their current AI usage, the tasks they spend most time on, and any specific areas they want help with. Used to tailor the hands-on sessions.
Two facilitated hands-on sessions
Both practical sessions are run by Reformat Labs facilitators who work through the room in real time. There's always at least one facilitator per 10 participants so nobody gets stuck.
Custom prompt library
A shared document built during the session containing tested, role-specific prompts for your team's most common tasks. Delivered within 48 hours, formatted for immediate use.
Role-specific workflow guides
A one-page reference guide for each team function covered on the day. Plain language instructions for the AI workflows your team built during the session.
30-day practice plan
A structured plan to maintain momentum after the workshop. Includes daily prompts, weekly team check-in format, and a shared log template.
30-day follow-up call
A 45-minute call 30 days after the workshop to review adoption, answer questions that have come up in practice, and add new prompts to the shared library.

Who you'll work with.
Team Rollout Workshops are always delivered with a minimum of one Reformat Labs facilitator per 10 participants. For a team of 20, that's two facilitators on the day.
Lead facilitator
Runs the foundational sessions, leads the opportunity mapping, and manages the room throughout. Selected based on their experience in your industry. Has facilitated AI rollout workshops across multiple sectors and knows the common sticking points by role.
Hands-on support facilitator
Works through the room during practical sessions providing individual support. Helps people who are stuck, refines prompts that aren't performing, and captures the best outputs for the shared prompt library. Additional facilitators are added for teams over 20.
